DOP Computer Equipment Eligibility By Staff Type

Admin Staff – Fiscal, MPAs, Administration, Education, etc

Admin staff receive the standard DOP computing package

Purchasing:

IT Hardware for administrative staff is fully budgeted and funded through the Peds IT Budget.  All purchases on 233AU80.  In special cases where the leadership wants to purchase computer hardware or accessories with General/Other funds, 233A528 is often used.

Base Computer:

Administrative staff are supplied a mid-size (14-15in) Dell Latitude* running Windows.

* – Current UW Dell Contract Bundle Model – changes up to twice per year.

Remote work accessories:

1 x USB-C Hub Monitor (24”, docking station built-in)

1 x Dell Wireless Mouse and Keyboard Set

1 x USB-C to EtherNet Adapter

1 x Headset (Wired or BlueTooth, depending on available stock)

On Site:

2 x Monitor and docking station** with wired-Internet, keyboard, and mouse.  Docking station may be located at an individual, shared, or touch-down space.

** One monitor and dock may be replaced with a monitor that includes an integrated USB-C dock.

Mobile Device:

iPads (wi-fi only) available via supervisor request and business justification.  Funding source required as staff iPads are not accounted for in the Peds IT budget.

Faculty

Purchasing:

Faculty are provided additional purchasing flexibility and are allotted $1650 every four years towards the purchase of a new computer.  Faculty may use additional funds, including professional expense or start-up funds, grant, award, or relevant program funds to purchase computer equipment above the department cost allowance or to buy additional computing devices or accessories.

Faculty are offered additional platform, size, and performance options, and may choose to customize their order upon request.

Each faculty may have up to one active desktop, one active laptop, and a mobile device (iPad) supported simultaneously.

In practice, if a faculty member has available funds and has a valid business justification for a particular piece of hardware that meets required security standards and purchasing guidelines, Peds IT will do their best to fulfill the request.

Admin Students

Admin students are provided a DOP laptop at the request of their supervisor during the onboarding process.  In most cases, student computer hardware needs will be fulfilled using previously used DOP equipment so that new machines can be reserved for full time staff.  By default, admin students will be provided with a laptop-only, with the assumption that they will be utilizing shared or touch down space when docking on-site.  Additional remote work equipment available by supervisor request and justification.

Shapiro Students (temporary summer students) are handled the same as admin students.

Research Staff and Students (PI/Grant funded)

This section is relevant to research staff hired and funded through an individual PI, research group, or grant.  Research Staff such as the Peds Clinical Research Coordinators or other department funded positions that support research are considered admin staff in the context of IT purchases.

Research staff are provided equipment at the discretion of the funding PI.  If no additional information is provided, a standard model (same as admin staff), will be purchased and charged back to the lab or funding string as approved by the PI.  Accessories, including docking station and additional monitors are up to the discretion of the funding PI.  For computers that require greater than average performance or computers that will run specialized research hardware, please work directly with IT build out a custom order.

Locum Tenens

Locums are provided a DOP laptop.  Whenever possible, a good condition used laptop will be provided.  In the event no existing equipment is available, a new laptop may be purchased under 233AU80.  A UW NetID is required prior to being granted a DOP endpoint.  Locums are not provided additional accessories unless specifically requested/approved by peds admin.

Non-Faculty Clinical Staff (NPs, UWHealth/UMWF employees)

Non-faculty employees of UW Health and UWMF are generally limited to UW Health issued computers as determined by their primary employer.  SMPH-Pediatrics does not supply direct computer funds for this population, but professional funds provided by the department may be used to purchase computer equipment provided the equipment is ordered via UW Health’s official hardware request method found here: https://uconnect.wisc.edu/depts/uwhealth/information-services/hardware-requests/resources/name-174964-en.file

In the event a DOP computer is required by a clinical staff member for collaborating with a faculty PI on a research study, the PI or designated research manager should email the Peds IT describing the need and provide the appropriate funding string.

iPads may be purchased using professional funds directly through Peds IT.  Once purchased, the iPad must be enrolled in either UW Health’s Workspace One system OR the UW-Madison Workspace One system.  Specialty clinical applications may require the use of UW Health’s system, so it is recommended that the iPad be ordered through UW Health if the use-case is primarily utilizing clinical applications.

Chief Residents

Chief residents are provided a computer by SMPH-Pediatrics.  Chiefs may choose between the current standard Dell Latitude or an Apple MacBook.  Depending on the purchase year and the status/age of the current computers used by the outgoing Chiefs, a computer less than 18 months old may be transitioned from an outgoing chief to a new chief.  If desired platform does not match, or the computer(s) used by the outgoing chiefs is older than 18 months, a new computer will be purchased for the incoming chief(s).
